KioskBuddy automatically syncs with your Square item availability for sold out items and decrements stock count for items ordered by your customers through the kiosk. You can manually turn off this setting from the KioskBuddy Dashboard. By default, when you 86 an item from Square, KioskBuddy will automatically label the item as sold out on the kiosk and it cannot be ordered. When items are back in stock, customers can immediately start ordering those items again. You can manage inventory from your Square Dashboard, the Square POS app, the Square for Restaurants app, or the Square KDS app!
In this article, we'll show you how KioskBuddy syncs with your Square inventory data and how to mark an item as sold out.
If an item is out of stock in your Square Item Library or you marked the item as sold out from Square, KioskBuddy will automatically label the item as sold out on the kiosk. The sold out item will be up-tappable so that the customer cannot add it to their cart. Also, any out-of-stock items that are already in the customer's cart will be removed. When items are back in stock, customers can immediately start ordering those items again. Here's an example of how a sold out item will appear on your kiosk:
KioskBuddy automatically receives the latest stock count data from Square. Here is how you can enable stock count tracking:
Navigate to the KioskBuddy Dashboard.
Go to the Catalog page.
Select your menu.
Find your item.
Push the Show More button for your item.
Push the Edit button for the item variation.
Turn on the Track Square Inventory toggle.
Now, when a customer orders that item from KioskBuddy, the stock count will automatically be decremented for that item in your Square Item Library.
The stock count will always be decremented for the item in your Square Item Library, even if you have the Track Square Inventory toggle turned off.
Sometimes, KioskBuddy may not have the up-to-date stock count or item availability status for your item. If you want to refresh the inventory data for all of your items, you can use the Manually Sync Square Inventory button. Here's how:
Navigate to the KioskBuddy Dashboard.
Go to the Kiosk Settings page.
Go to the Behavior section.
Scroll down to find the Manually Sync Square Inventory button.
Push the Manually Sync Square Inventory button.
You can optionally set a stock threshold to help prevent over-selling of any items. For example, you can set the stock threshold to 1 so that when an item has a stock count of 1 left, it will be labeled as sold out on the kiosk. Here's how to set a stock threshold:
Navigate to the KioskBuddy Dashboard.
Go to the Kiosk Settings page.
Go to the Behavior section.
Scroll down to find the Stock Threshold text field.
Enter the stock count number you would like your Stock Threshold to trigger at.
By default, the Automatically show items as sold out setting is turned on. This setting controls KioskBuddy automatically syncing with your Square item availability. Here is how you can manage your setting:
Navigate to the KioskBuddy Dashboard.
Go to the Kiosk Settings page.
Go to the Behavior section.
Scroll down to find the Automatically show items as sold out toggle.
You can mark an item as sold out from your Square Dashboard, the Square POS app, the Square for Restaurants app, or the Square KDS app! As a backup option, you can also mark an item as sold out from the KioskBuddy Dashboard, but keep in mind that the inventory or item availability set from Square will automatically adjust the value set in KioskBuddy.
Navigate to your Square Dashboard.
From the Hamburger menu, go to Items.
Go to Item Library.
Select the item you want to adjust inventory for.
Scroll down to the Variations section.
Push Edit variation details.
If you have more than 1 variation, then select the variation you want to adjust inventory for.
Go to Manage stock.
Turn on the toggle Mark as sold out on Point of Sale and Online or set the stock count to 0.
Push Done and then push Save.
Open the Square POS app on your device.
Tap the More hamburger menu at the bottom menu.
Tap Items.
Select the item you want to adjust inventory for.
If you have only 1 variation, scroll down to the Price and inventory section. Push Manage Stock or push the stock count number. Toggle on Label as sold out at this location or set the stock count to 0.
If you have more than 1 variation, then scroll down to the Variations section. Select the variation you want to adjust inventory for. Push Manage Stock or push the stock count number. Toggle on Label as sold out at this location or set the stock count to 0.
Push Done and then push Save.
Open up the Square for Restaurants app on your device.
Select Actions at the bottom menu.
Select Item Availability.
Select the item you want to adjust inventory for.
Select Unavailable for Sale.
Push Save.
Open the Square KDS app on your device.
Open the Hamburger Menu (3 lines icon).
Push View item availability.
Select the item you want to adjust the availability for.
Select Unavailable for sale.
Push Save.
Navigate to the KioskBuddy Dashboard.
Go to the Catalog page.
Select your menu.
Find your item.
Push the Show More button for your item.
Push the Edit button for the item variation.
Turn on the toggle Show as sold out at (your location).
Push Apply.
This toggle is meant to be used as a backup option. The value is automatically adjusted according to your inventory or item availability set in Square. If you enable or disable this toggle, the value may get overwritten if your inventory or item availability is different in Square. For example, if you marked an item as sold out from Square Dashboard, this toggle should automatically be turned on. If you turn off the toggle from KioskBuddy, the toggle will automatically turn on again once KioskBuddy receives the latest Square inventory data.
